The Office Administration Coordinator is responsible for coordinating day-to-day office administration while providing administrative support across People & Culture, project operations and executive administration. Working closely with the Head of Operations and cross-functional teams, the role ensures efficient workplace operations, responsive internal services and effective administrative support that enable the organization to deliver high-quality programs and social impact.
- Efficient and well-organized office operations.
- Seamless onboarding experiences for employees, interns, and volunteers.
- Accurate and confidential HR and administrative records.
- Responsive administrative support for projects and organizational activities.
- High-quality internal administrative services and stakeholder satisfaction.
- Coordinate day-to-day office operations, facilities, equipment, supplies, and workplace logistics.
- Coordinate procurement of office goods and services, and maintain vendor relationships.
- Organize meetings, workshops, staff events, and other administrative logistics.
- Provide administrative support throughout the project lifecycle, including travel, field logistics, and documentation.
- Support recruitment administration, onboarding/offboarding, and HR records.
- Support attendance, leave administration, and employee lifecycle administration.
- Bachelor's degree in Business Administration, Office Administration, Management, or a related discipline.
- 1–2 years of experience in office administration or project support; fresh graduates with strong potential welcome.
- Proficient in Microsoft Office 365, Google Workspace, and digital collaboration tools.
- Good command of Vietnamese; English communication skills preferred.
